How Do You Register to Exhibit at IPW 2026?

The official exhibitor services contractor is Freeman. Exhibitors receive a complimentary furniture package (table, chairs, etc.) for linear booths.

Key Freeman deadline: April 10, 2026 is the last day to:

  • Upload print-ready artwork files for branded graphics and identification signs
  • Submit the EAC form if using a contractor other than Freeman
  • Order the complimentary optional furniture package (orders after this date incur a fee)
  • Place advance orders for internet, floral, electrical, and catering at the convention center rate

All four of these deadlines fall on the same date this year, roughly five weeks before the show opens. Plan accordingly.

Booth Logistics and Timeline

Getting your booth to Fort Lauderdale requires the same planning as the design itself. Here’s what to think through:

  • Shipping and freight: Booth materials need to be professionally created, labeled, and shipped to the venue’s advance warehouse or direct to the show. Missing the freight window can result in delays or worse, your booth not being ready when doors open.
  • Installation: Freeman is the official contractor, but exhibitors using custom builds often bring in their own exhibit house to supervise installation. If you’re working with an outside exhibit company, the EAC form (due April 10) must be submitted in advance.
  • Lead time for custom booths: For a May show with an April 10 deadline, you’ll want your booth design finalized well before March. If you’re working with a fabricator, engaging them three to four months out gives you time for design approvals, production, and shipping without cutting it close.
